Why My Outlook Signature Does Not Appear

Incorrect Outlook Settings

First, make sure that your signature is turned on in Outlook. Under “Compose messages,” look for the “Signatures” section. If the Signatures box is unchecked, check it and click OK.

If your signature still isn’t appearing, the problem could be with the format of your signature. Outlook supports two different types of signatures: text signatures and HTML signatures. To check which type of signature you have, go to File> Options > Mail. Under “Compose messages,” click “Signatures.” In the “Signatures” window, look at the “File Format” drop-down menu. If it says “Outlook Rich Text,” you have an HTML signature. If it says “Plain Text,” you have a text signature.

If you have an HTML signature and it’s not appearing in your email, go to File > Options > Mail. To check this, click “Signatures” in the “Signatures” window, and click the signature not appearing in your email. In the “Edit signature” window, click the “Edit in HTML” button. This will open your signature in a web browser. 

If you have a text signature and it’s not appearing in your email, the problem could be that your signature is set to appear only in new messages. To check this, go to File > Options > Mail. Under “Compose messages,” click “Signatures.” In the “Signatures” window, click the signature not appearing in your email. In the “Edit signature” window, ensure that the “Insert this signature only in replies and forwards” option is not checked.

Signature File Not Created Properly 

If you’re noticing that your Outlook signature isn’t appearing the way it should, or if it does not, there are a few things you can check to troubleshoot the issue.

To do this, open up Outlook and go to the File> Options > Mail > Signatures tab. The File hasn’t been created appropriately if it says (None).

If the File looks fine, but your signature still isn’t appearing, try restarting Outlook. Sometimes, Outlook needs to be restarted for changes to take effect.

To check this, go to the File > Options > Mail > Signatures tab again. 

If you’ve checked all these things and your Outlook signature still isn’t appearing, there may be a more severe problem. In this case, it’s best to contact Microsoft support for further assistance.

Missing or Corrupt Signature File 

If you’re seeing a “Missing or Corrupt Signature File” error in Outlook, your signature file is either missing or corrupt.

You can try removing and re-creating your signature file if Outlook isn’t functioning properly. To do this, go to the following folder:

C:\Users\<username>\AppData\Roaming\Microsoft\Signatures

Delete any files in this folder, and then restart Outlook. You can generate a new signature when asked to do so. If none of these solutions work, your Outlook profile may be corrupt.
